Here are all the detailed steps to connect your OOTI account to your SAGE 100 account
⚠️ Integration with OOTI is only for the SAGE 100 version.
Start by going to your settings > modules > activate accounting integrations
Then go to billing > Integration and download the SAGE connector by clicking on the button :
❗️❗️ Before connecting OOTI to your accounting software, you need to set up the account numbers, here is the article about it ❗️❗️
Once your account numbers are set, you can connect your two accounts. Click on download the Sage connector
This will download a compressed folder to your computer. Open it, then click on the setup file.
Once the installation is complete you will see a new OOTI icon on your desktop.
Click on this OOTI tab, a new page will open and here is how to complete the fields, in order to be able to modify them, first click on Load then on Edit :
📌 Sage Company: You will see 3 possible fields, choose the first one for your first entity. If you have several entities, repeat the whole operation for the others.
📌 Sage Company: Enter your company name on OOTI. To find it, go to your first name at the top right > settings > info > Name*
📌 Sage Period Start: Enter the date from which you want to take into account the invoices
📌 Sage User: Enter <Administrator>
📌 Sage Password: your SAGE password
📌 Sage Path: You must find the file related to your company and OOTI then copy the link into the box provided for this purpose. You will also need to add the file name and then the extension as below TEST1.mae (=file.extension)
📌 Sales Journal: VTE
📌 Project Cost COA : PROJET
📌 Project Cost Level: Production cost
(You will be able to check this information later in SAGE)
📌 Base URL: app.ooti.co
📌 OOTI email: your email
📌 OOTI password: your password on OOTI
📌 OOTI organization: find this code by going to OOTI, on your first name > settings > info > ORG ID
📌 Team ID: find this code by going to OOTI, on your first name > settings > entities > TEAM ID
Then click on SAVE at the top right and then on LOAD.
You can now open Sage on your computer
File > open > select the company’s file
Then connect to your company
Now check your data by going to the following tabs:
Structure > log code > check that the VTE code is correct
Structure > Analytical plan > project in the left margin or then File > company parameters > analytical > analytical plan > project >
In this same window, check Analysis level > production costs
Third-party Plan = synchronize the clients (a unique client code required), so check on OOTI billing > clients that the codes are well filled in and unique. Go to OOTI > invoices > clients > column number.
❗️❗️Attention, it is not possible to start the synchro if wise is open❗️❗️
We will now synchronize OOTI with SAGE
Pull Customer > sync customers
Pull projects > synchronize the project projects
Check invoices > check for any problems on the invoices
POSSIBLE ERRORS ON THE INVOICES:
The sales account has no associated currency
Attached VAT code does not exist = Fix this in settings (Here is the article about it)
The accounting account does not exist between the 2 entities
If there are errors, you can see through the file what is wrong.
Entry logs = by clicking on Pull invoices you will import the sales logs if there are invoices on OOTI
Sales are automatically attached to the project in sage
Last settings:
On OOTI > Billing > invoices > check that the invoices are properly synchronized with accounting thanks to the small blue validated symbol
❗️❗️Once the import is done, no more changes possible, only a credit note will be able to reverse the invoice.❗️❗️
And there you go!! You have synchronized OOTI with Sage!
