What is FF&E and how to manage it in OOTI?

What is FF&E?

FF&E (Furniture, Fixtures & Equipment) refers to all non-structural, movable elements of a project that can be removed without damaging the building.

FF&E typically includes:

  • furniture,

  • decorative lighting,

  • soft furnishings (curtains, cushions, textiles),

  • artwork,

  • fittings and accessories,

  • wall fabrics and equipment.

This term is widely used in architecture, interior design, hospitality and commercial real estate, including in Canada and internationally.

II. FF&E in OOTI

OOTI does not manage inventory or purchase orders for FF&E.
However, activating the FF&E module allows you to:

  • record FF&E-related amounts,

  • build a billing forecast,

  • analyze the profitability of FF&E operations.

Configure your FF&E operations

Once the FF&E module is activated:

  1. Open the relevant project

  2. Click Settings (green gear) > Fees

  3. Enable the FF&E module

A green FF&E gear icon will appear. Click it to configure:

  • FF&E gross margin budget (%): resale margin

  • FF&E purchasing management fee margin: set 100% if you charge management fees

These settings apply to all FF&E operations within the project.

Enter your FF&E operations

From your project:
Fees > FF&E > + FF&E

Create as many FF&E lines as needed.

  • Resale price: €2,000

  • Resale margin: 10%

  • Purchasing management fees: €500

Step 1 – FF&E cost

  • Type: FF&E cost

  • Label: Chair

  • Amount: €2,000

Step 2 – FF&E fees

  • Type: FF&E fees

  • Label: Chair purchasing management

  • Amount: €500

Each operation will appear as a separate line.

Manage your FF&E operations

1) Forecasting

  • Go to Planning > Table view

  • Assign dates to FF&E operations

FF&E items will then appear in:

  • the production planning,

  • the billing forecast, just like standard project phases.

Invoicing

Update the progress status of FF&E operations

Go to Invoicing > Invoices > + Invoice

Select FF&E as the invoice type

Choose the FF&E items to invoice

Analysis

In Project > Finance, you can analyze:

  • actual costs,

  • FF&E margins,

  • generated revenue (resale + management fees).

This provides a clear planned vs actual view of FF&E profitability.

You can now configure, track, invoice and analyze FF&E operations in OOTI, with a clear and structured financial overview — fully aligned with international and Canadian project practices.
