How to Handle an Overpayment from a Client

A client has paid more than the amount due? Use invoice notes to keep track of the overpayment and its settlement, without modifying any amounts.

💡 Please note: The platform does not manage cash flow, so the overpayment must be settled directly with your client.

1. Record the payment of the original invoice for its actual amount

Even if the client has paid a higher amount, the invoice must be marked as paid for its original invoiced amount, without taking the overpayment into account. In our example, the €1,980 incl. VAT invoice remains fully paid at €1,980 incl. VAT.

2. Add a note to the invoice to keep track of the overpayment

To keep a record of the difference, indicate the overpayment directly in a note on the invoice (for example: "€500 overpayment on invoice 26-08-001 – to be settled on the next invoice").

⚠️ This note is for informational purposes only: it does not modify the invoice amount or its payment status. Please note that it will remain displayed on every subsequent invoice until it is deleted — remember to remove it once the situation has been settled.

3. Mention the settlement on the new invoice

Create your new invoice as usual, for its standard amount — without deducting the overpayment. The note entered on the previous invoice will automatically appear on the new invoice.

You can then update the note to specify that the overpayment has been settled (for example: "€500 overpayment on invoice 26-08-001 – settled on invoice 26-08-002").

ℹ️ Once the overpayment has been settled, remember to delete the note from your next invoice so that it no longer appears on subsequent invoices.
